CSV · Local batch workflow
Calculate a batch of orders without uploading your CSV
Map orders into a local CSV template, check cost and tax units, review invalid rows and duplicates, then export valid profit estimates with rule versions.
Prepare a copy of your order data
Start with a small copy of your orders, or download our four-order template. The batch is an order-profit estimate rather than a marketplace payout reconciliation. Each record needs a platform, a positive item price and an entered product cost. A cost of zero is a deliberate value; a blank product cost is an error.
Map source columns to the accepted names before importing. A platform report can have quantities, tax or totals with different meanings. Keep buyer shipping separate from actual postage. Enter monetary values in USD with a decimal point, without a dollar sign or thousands separator. Export UTF-8 comma-separated CSV.
Check units, tax and blank cells
For eBay, price and product cost are per unit; quantity covers identical items in one category, checkout and shipping method. Shipping, packaging, advertising, listing allocation and other costs apply once to the whole order. Etsy, Amazon FBM and Shopify rows represent one item; quantity must be 1 or blank. Use separate records for independent orders.
eBay takes a tax percentage in tax_rate. Etsy, Amazon and Shopify take the actual USD tax amount in buyer_tax. All exclude buyer tax from seller revenue; their fee bases differ in their shared engines. A blank tax cell means zero, so it is your responsibility to enter applicable tax rather than treating a blank as a lookup.
Most optional costs default to zero. Etsy listing allocation defaults to $0.20 and eBay to $0. Enter 0 explicitly when no Etsy allocation belongs to that order. Etsy Offsite mode defaults to none and does not infer attribution. eBay plan defaults to standard, Amazon to Individual and Shopify to Basic monthly. Read the column reference before accepting these assumptions.
Allocate subscriptions with a real denominator
Shopify requires monthly_orders so its plan and monthly apps are allocated once. Amazon Professional requires monthly_units for its subscription allocation. The tool rejects a missing denominator rather than inventing your sales volume. Amazon Individual uses the per-item plan charge and does not require monthly units.
The template covers Amazon FBM and published domestic standard-card Shopify Payments. For FBA dimensions, manual fulfillment, international cards, third-party payment processors or custom Shopify rates, use the individual tool with its expanded inputs. Do not assume a CSV estimate includes a fee outside its stated scope.
Four hypothetical $100 orders
Each example sells a $100 item, has a $40 product cost and $5 postage, and no other entered cost. eBay uses a 6% tax rate and other rows use $6 buyer tax. Etsy has a $0.20 listing allocation and no Offsite fee. Amazon is Home & Kitchen with Individual FBM. Shopify is Basic monthly with 100 monthly orders and no apps.
| Platform | Fees & allocation | Profit |
|---|---|---|
| ebay | $14.82 | $40.18 |
| etsy | $10.13 | $44.87 |
| amazon | $15.99 | $39.01 |
| shopify | $3.76 | $51.24 |
The four valid records have $400.00 revenue, $44.70 fees/allocation and $180.00 costs, leaving $175.30. This is a check of the template, not evidence that a real seller earned these amounts.
Review errors before trusting a total
Incorrect amounts, unsupported categories or fields, and wrong cell counts create visible errors on their original CSV record numbers. The table keeps every record; summaries and valid-result downloads exclude invalid rows. A file-level structure error, such as an unknown or repeated column name or an unclosed quote, stops the calculation.
Duplicate IDs are kept as separate independent orders and marked for review. Remove a duplicate only if it really represents the same order twice. Do not deduplicate solely by SKU: repeated products can be separate sales. Compare valid and invalid counts with your intended input count before using a total.
Export, correct and reconcile
Download valid results and, when present, a separate error file. Results include the original record number, label, platform, dollar totals, rule version and review date. Errors include the original record data to help you correct it. Spreadsheet-like formulas in text labels are neutralized on export; monetary loss columns remain numeric.
Editing or loading another CSV clears the current preview and disables exports until you recalculate, so downloads cannot quietly describe older inputs. Files are read locally, nothing is saved automatically, and file names, record content and amounts are not sent to analytics. Downloads are ordinary files on your device; keep them where you want your business records stored.
